What should an invoice include?

  • Your business name and contact details.
  • Your client's name and, if useful, their email and address.
  • A unique invoice number.
  • The issue date and a payment due date.
  • Line items with a description, quantity, rate and amount.
  • Subtotal, any discount, tax and the total due.
  • Payment instructions or terms, which you can add in the notes.

Invoice number and due-date basics

Use a simple, sequential numbering system such as INV-1001, INV-1002 so every invoice is unique and easy to find later. Avoid reusing or skipping numbers where you can.

Common due dates are "due on receipt", 15 days (Net 15) or 30 days (Net 30). Whatever you choose, state it clearly on the invoice and agree on it with the client before you start the work.

Taxes, discounts and totals

In this generator the discount is applied to the subtotal first, then tax is calculated on the discounted amount. Sales tax rules differ by state, city and the type of product or service, and many services aren't taxed at all in some places. Check what applies to your business, or ask an accountant, before adding a tax rate.

Invoice tips for freelancers and small businesses

  • Send the invoice as soon as the work or milestone is done.
  • Describe line items clearly enough that the client's accounts team doesn't need to ask.
  • Put your preferred payment methods in the notes.
  • Keep a copy of every PDF you send for your records and tax time.
  • Follow up politely on the due date if payment hasn't arrived.

How to make an invoice

    Add your business and client details, plus the invoice number and dates.

    Add each line item with a quantity and rate — totals calculate as you type.

  3. 03

    Press Print / Save as PDF and pick “Save as PDF” in your browser’s print dialog.

Good to know

  • Nothing is saved. If you refresh or close the tab, the invoice is gone, so download the PDF before leaving.
  • Discount is applied first, then tax is calculated on the discounted amount.
  • This tool doesn’t collect payments and doesn’t connect to accounting software.
  • Check your local invoicing requirements — some regions require a tax ID or specific wording that you can add in the notes.

Is the invoice really free?

Yes. There’s no signup, no watermark and no limit on how many you create.

Where is my invoice data stored?

Only in your browser while the page is open. We never receive it.

Can I add my logo?

Not in this version. The layout keeps your business name and details at the top instead.

Can clients pay the invoice here?

No. This tool produces the document only. Add your payment details in the notes field.
